How to send wedding invitations by WhatsApp (without it feeling like a group chat)

A step-by-step guide to sending wedding invitations by WhatsApp or text: the message to write, why to send one link per household, what to do about the preview card, and how to handle the replies.

WhatsApp is how most of your guests already talk to you, which makes it the obvious way to send the invitation. Done badly, it is a link dropped in a group with "details above!!" and forty people asking what time it starts. Done well, it is a personal message to each household with everything they need and a reply form one tap away. Here is the well-done version.

Before you send anything

You need three things ready.

  1. The invitation page. Not a JPEG. A picture of an invitation cannot be read on a small screen, cannot be updated, and cannot collect a reply. Make a page with the details and the RSVP form on it. RSVP Websites is one way; the rest of this guide works with any link.
  2. A link per household. If your tool can give each household its own link with their names already on it, use that. It is the difference between "Dear Priya and Tom" and "Dear guest", and it is how you know who has not replied.
  3. Your guest list with phone numbers. Check the numbers before the day you send. An invitation that goes to an old number is the one you find out about in June.

Send one message per household, not one post in a group

The temptation is a group. Resist it. A group means the replies come back into the group, people answer for each other, and a guest who was not meant to see the plus-one discussion sees it. One message each takes an evening for a hundred households and sets the tone for everything that follows.

If you have a large guest list, WhatsApp's broadcast lists send the same message to many people as separate chats, but each message is then identical, so you cannot include a personal link. Use broadcast only for the save-the-date style announcement, and send the actual invitation individually.

The message to write

Short, warm, and with the link on its own line so the preview card shows.

Hi Priya and Tom, We're getting married on Saturday 20 June at Hawthorne Hall, and we'd love you both to be there. Everything's on your invitation here, including the reply form: https://amira-and-daniel.invalia.io/i/pr1ya-t0m Could you reply on the page by Friday 15 May? Can't wait to celebrate with you. A & D x

Three things that message does: it says the date and place in the text (so it is readable even before the link is opened), it tells them where to reply and by when, and it ends like a message from a person rather than a notice.

For a more formal wedding, lose the exclamation marks, keep the structure:

Dear Margaret and John, Amira and Daniel would be delighted if you would join them for their wedding on Saturday 20 June 2027 at Hawthorne Hall, Great Missenden. Your invitation, with the details of the day and the reply form, is here: https://amira-and-daniel.invalia.io/i/marg-john We would be grateful for a reply by Friday 15 May.

The preview card

When you paste a link into WhatsApp, iMessage or most other apps, a card appears with a picture and a title. This is the first thing guests see, so it should show your names and, ideally, a photograph. A good invitation page sets this automatically from its title and cover image. If the card shows a generic title or no image, the link is not ready to send.

One practical note: paste the link, wait a second for the card to appear, then send. If you send before the card loads, some phones show a bare URL.

Timing

Send invitations when you would have posted them, usually three to four months before the wedding, and set the reply-by date four to six weeks before. Links get replies faster than cards, so you can shorten that a little, but do not send a WhatsApp invitation at 11pm on a Sunday expecting a reply by Tuesday. Our guide on RSVP deadlines has the full timeline.

Send in the early evening on a weekday. People are on their phones and not at work. Avoid Friday nights; the message gets buried under the weekend.

Guests who are not on WhatsApp

There will be a few. Text message works the same way; so does email. For the one or two relatives who would rather have paper, print the essentials on a card and write the link on it as well, or ask a family member to open the page with them. The reply form can also be found by searching a name, so a grandchild can fill it in on their behalf.

Replies

If your invitation page has a reply form, ask guests to use it and only it. When someone replies in the chat instead ("yes!! can't wait x"), thank them and ask them to tap the link so their meal choice is recorded. It feels fussy the first time and saves you hours by the fifth.

Guests will also reply with questions. Answer the question, then if it is something others will ask, add it to the page's FAQ so you only answer it once.

Chasing

Expect a fifth of households to miss the deadline. The chase is the same message in shorter form, with the link again, because "I couldn't find it" is the real reason for most of them. Our guide to chasing RSVPs politely has the wording for the first and the final nudge.

A short checklist

  • The invitation is a page with the reply form on it, not an image
  • Each household has its own link
  • Phone numbers are current
  • The preview card shows your names and a photo
  • One personal message per household, early evening, weekday
  • Date, place and reply-by date are in the message text as well as on the page
  • Replies go on the page; questions go on the FAQ

With RSVP Websites, every household gets its own link with their names on it, the preview card shows your names and your cover photo, and the replies land in your list with meal choices and dietary notes attached. Copy the link, paste the message, send.
